Generating Documents

The Document Rule is a criteria for the document to be generated on the Delegate Record, where the Communications Rule is the trigger for automation resulting in the Document to be added to the Delegate Record under files, and to be sent in an email.

You can manually click "Generate Documents" both on the Delegate Record and Event/Function Page, which will save the certificate to the Delegate Record. Then, when the trigger is met with the Communications Rule, it will be emailed with that document.

However, to automate this process, you can rely on the Communications Rule to generate and trigger the document generation and storage on Delegate Record which will then be sent in the email once the trigger condition is met.

A Document cannot be automatically generated on the Delegate without the Document Type being defined in the Communication Rule.

There are three means in which to generate your document.

  • You can manually generate the document directly on the Delegate.

  • Or you can manually generate the documents on the Event/Function.

  • And scheduled document generation.

    • The automated generation of required documents is done on the Opt Out Batch Job.

Once a document has been generated through the Communication Rule or manually on the Delegate Record, it will automatically save on the Delegate Record in Files.

To manually generate a document on the Delegate Record:

  • Click Generate Documents.

  • A pop-up will be displayed in which you will be required to select which document you would like to generate.

  • Once you select the document, click Generate.

The Active Certificate or Ticket previously created in the Document Templates for your selected Event/Function will now be saved on the Delegate Record in Files.

To manually generate a document on the Event/Function:

  • From the drop down actions list Click Generate Documents.

This will run in the background.

The Active Certificate or Ticket previously created in the Document Templates for your selected Event/Function will now be saved on the Delegate Record in Files or in th Document Rules' Content Versions under Related.
