Sessions [Since EventSpark 2.19]

Create Sessions on the Event Sessions tab on the Event Microsite

  • The event manager can now create Sessions on the Event Microsite.

  • On the related tab called Content on the Event/Function layout, to add new Sessions on the Event Microsite the event manager can create a new Event Sessions record.

  • Allow Delegate/Guests to register for Sessions [Since EventSpark 2.29]

    • Allow Delegeate/Guests to enroll for and reserve a seat at your sessions.

This feature can only be used if there is no content on the Agenda section in the Details section of your Event/Function.

When cloning an Event/Function to include Sessions, revert back to your session on your new Event/Function to align your session with the new Event/Function start date and time.

If your new Event/Function Start Date and Time are different to the cloned Event/Function, the session will Null out the Date and Time. Failing to revert back to your session to correct this may result in an error on your Event Home Page.

To create a Session, follow the below steps:

Select the Content related tab on the Event/Function tab list and Click New on the Event Sessions tab.

Complete the required fields.

  • Give your session a name.

  • Select the event you would like session to be displayed on.

  • The Date must be the same date as the Event Date.

Complete the optional fields if you would like more information to display on your Microsite.

  • The Start and End Time must fall within the Event Date Start and End Time.

  • You can link a Staff/Speaker to the Session record (You also can link a Session to the Staff/Speaker record).

  • Provide a Venue and Space for the session.

  • Provide an overview of the session such as a short summary of who will be speaking and what they will be speaking about.

  • Provide a description of the session.

Allow Delegate/Guests to register for Sessions

Allow Delegate/Guests to enroll for and reserve a seat at your Sessions, this can be achieved by setting your Event/Function to allow Sessions Bookings After Registration Completed as well as selecting on your Session to set Session Booking to Open Enrollment.

  • Indicate if the session needs to be booked by selecting “Open Enrollment” at Session Booking on your Session setup.

  • If the session has a limited capacity, provide the maximum number of Delegates a Session can accommodate. If this is left blank then there is no capacity limit for the session.

  • If the session does not need to be booked, leave Session Booking blank or select “Not Appicable”.

Click “Save”.

To ensure the event can accommodate the bookable sessions, select “After Registration Completed” under “Session Bookings” of the Registration Options of your Event/Function.

Click “Save”.


  • The session can be cloned when the Event/Function is cloned. This will clone all details, including the Start and End Time which can be changed if needed. The date, however, links to the Event/Function date upon cloning to match the date of the new Event/Function date.

Click “Save”.


"Add To Calendar" Button On Event Sessions [Since EventSpark 3.13]

You now have the ability to provide an add to calendar button for each session you create.

  • To do this, go to your Event Function and select "Yes" at the field "Show Session Calendar Links"

If your Event Sessions are not setup completely with a start and end time, you will not be able to save this value as "Yes". You will need to complete your Event Sessions Date/Time Setup to enjoy this feature.


To ensure that your Sessions have the "Add To Calendar", you need to ensure your Sessions have the correct Calendar Link URLS in your Sessions.
If you make a change to your Event, the links may disappear and if there is no link, you need to make a change to the time.
This is a known limitation and will be optimized in the next release.


Ability to prevent a Delegate from registering for Sessions that overlap in time [Since EventSpark 3.13]

You now have the ability to limit your guests from booking for Event Sessons that overlap in time.

  • To do this, go to your Event Function and select your preferred overlapping time limitation from the picklist field "Session Booking Overlap".
