Clone an existing Event

Once you have created your first event, you can save a bunch of time by copying it. In Salesforce we call this cloning. To clone an existing event, click into the event you want to clone and select the “Clone Event” button.

New fields to be input include:

  • Name

  • Event Title

  • Event Friendly URL

  • Event Title

  • Event Tag Line

  • Time Zone

  • Registration Cutoff Date

  • Event Start Date and Time

  • Event End Date and Time

  • Reg Cut-off Date and Time

Users can select what details to copy across including:

  • Banner and Background images

  • Registration Options

  • Venue and Capacity information

  • Email and Site content

  • Communication Plans

  • Delegates (status is reset to Invite).

  • Ticket Types

  • Event Content (Custom Tabs)

  • Staff/Speakers

  • Sessions (also copies staff/speakers)

  • Document Rules

Require Verification will always be set to “Yes”.

Event and Microsite status are reset on cloning to allow you to control when the Site will go live so in other words, some or all of your Event Setup Progress icons will be orange on your new event and you now need to adjust your field settings to get them green and get your event ready so you can Activate it. Your Event Administrators can select what details are mandatory to copy over, and what event details to set as default when you click “Clone Event”. This will help you streamline your Event Cloning. [Since EventSpark 2.19]

To do this:

  • Go to the waffle and search for Organizing Entities. (You can add a tab for Organizing Entities to your menu tabs if you plan to change these often).

  • Click “Select Clone Event Settings” and select which Event/Function Detail Settings you would like to Clone across events which will display as selected by default, and which Event/Function Detail Settings you would like to Clone across events as Required i.e. mandatory.

  • Click Save.

  • Alternatively, scroll down to Clone Event Settings and click on the Edit Pencil on the right.

  • Select the Event/Function Clone options applicable when cloning events linked to this Organizing Entity. Required options cannot be changed and Default options are changeable.

  • Once you have selected your Default and Required Event Clone Settings, Click Save.

The next time you click Clone Event on your Event/Function, your cloning details will be pre-selected.

  • You will be able to deselect the items from the Default list,

  • You will not be able to deselect the items from the Required list.

  • You will still be able to select any of the other items on the list.
